Job Description / Duties

We are seeking candidates for the position of Ticketing Services Coordinator (Part-Time) to work with our Box Office / Sales operations team. This position will require a minimum of 20 hours per week and may fluctuate depending on performance events and schedules.

Reporting to the Manager, Ticketing Services, the Coordinator supports Box Office operations year-round, including subscriber assistance, group sales, internal ticket processing, and event support. The position also includes administrative support to both the Manager, Ticketing Services & Senior Director, Sales& Business Operations. As an active contributor on the Sales and Marketing team, the Ticketing Services Coordinator has impeccable customer service skills and a desire to build their knowledge within the ticketing realm. They will work closely with the Manager, Ticketing Services to provide her with system support for Archtics and all other Ticketmaster platforms.

Key Responsibilities:

Ticket Sales Operations

-Participating in an active role to help generate and map out sales initiatives
-Supporting daily operations in the Box Office; coaching Patron Services Representatives
-Learning and assisting with the season creation in Archtics, event and pricing creation for upcoming season performances (including season rollover)
-Liaising with Ticketmaster as needed re: event set up, promo codes, and customer service
-Learning and assisting with financial reporting, KPI measures, and performance revenue Journal Entries
-Inventory Management
-Ticket and Invoice templates
-Assist in responding to ticket inquires (phone & email)
-Documentation of process maps
-Marketing assistance as required
-Pulling of reports / list management as required
-Customer Service
-Providing excellence in customer service over the phone, in person, and by email
-Contribute to the Box Office team mentality of “surprise and delight” for our patrons
-Coordinate messaging and communications to ticket buyers including: Ticket Offer emails, Audience Guide, Surveys
-Proof read all out-going communications from Alberta
Ballet Box Office
-During performances, provide subscription assistance for Front of House (FOH)
-Assist Manager, Ticket Services with all aspects of event operations including: will call, workstation set up, liaising with Ticketmaster Box Office, wayfinding & patron assistance
-Share all pertinent ticketing information with the designated team lead for FOH before, during and after performances

Qualifications / Required Skills

Qualifications & Key Competencies:

-Must successfully complete a police back check
-3-5 years experience in a Customer Service role, preferably in Ticketing or Events
-Knowledge of Archtics & Ticketmaster Ticketing platforms preferred
-Knowledge of Blackbaud is an asset
-Financial background / experience considered an asset
-Intermediate-level proficiency with Office Suite, primarily Outlook, Excel & Word (MS Access and SharePoint experience considered an asset)
-Marketing / image manipulation / HTML experience considered an asset
-Ability to adapt to new technology and learn new systems quickly
-Exceptional communication and time management skills with the ability to prioritize
-Experience working in a team-oriented, collaborative environment
-Strong desire to achieve and celebrate departmental sales & service goals
-Organized, with extreme attention to detail
-Responsible, dependable and trustworthy

Additional Information

Working Conditions/Physical Requirements:

-Office environment
-On site at the Jubilee Auditorium during performances
-Must be available evening and weekends for performance runs
-Possible travel to Edmonton for performances
-Occasional lifting of 20lbs or more
-Minimum of 20 hours per week

Budgetary Duties / Authorizations:
-Authorizing credit card payments of stakeholders/patrons
