Job Description / Duties

This position is for a one year maternity leave replacement as a full-time employee with benefits responsible for the operation of the Ticket Centre department for The ACT Arts Centre & Theatre, working under the direction of the Executive Director. As an integral member of The ACT team, he/she manages the department, as well as schedules and supervises the work of a moderate sized group of part-time employees.
Key Activities and Responsibilities:
• Recruit, train, schedule and supervise the work of ticket centre staff
• Manage all the ticket centre activities including set-up and sale of event tickets through Theatre Manager software and act as liaison with Arts Management Systems (software provider)
• Manage off site ticket sales for various clients
• Maintain Arts Council fundraising mailing lists, membership and donor databases. This work includes keeping up to date records, providing donor and member receipts and correspondence, and mail-outs for acquisition, renewal and related campaigns in cooperation with Marketing and Development Department
• Work with Marketing staff on patron and client analysis and communications, developing and delivering special offers
• Facilitate and organize school and group sales
• Produce reports and event reconciliations for clients and Arts Centre management
• Processes all cash handling including daily till reconciliations, bank deposits, cash machine replenishment and petty cash floats
• Produce and monitor Department budget including staff wages based on scheduling projections
• Develop a sound knowledge of the rules, regulations, policies, procedures and methods applicable to the department and organization
• Ensure excellence in customer service, creating a welcoming environment through ticket sales services and the provision of reception services for facility
• Manage building hours schedule in cooperation with different departments
• Take pride in facility and participate as part of Front of House team with respect to facility appearance and care
• Work flexible hours, and as scheduled/required be able to both open or close the facility, working some evenings and weekends
• Establish and maintain effective working relationships with theatre users, volunteers and other employees
• Other duties as assigned by the Executive Director

Qualifications / Required Skills

Abilities, Skills and Knowledge:
• Five years experience in a not-for-profit performing arts environment with proven supervisory experience
• Experience with Theatre Manager ticketing software
• Education and/or experience with a focus on personnel management and financial systems
• Working knowledge of business and personnel principles related to theatre management
• Working knowledge of MS Office

Required Licenses, Certificates and Registrations:
• BC Drivers License, Super Host, First Aid
