Job Description / Duties

Canada’s National Ballet School is currently accepting applications for the contract full-time position of

SCHEDULE CO-ORDINATOR
15 Month Contract: September 16, 2019 – December 20, 2020 (approx.)

The school seeks an energetic self-starter, who is highly organized, an excellent communicator and who will bring enthusiasm to the role. The successful candidate will assume centralized responsibility for the scheduling of all ballet classes, rehearsals, fittings, special lessons and will be responsible to schedule the use of school facilities.

Major Duties and Responsibilities:
• Creating/maintaining individual schedules for ballet staff and musicians in all programs; creating/maintaining special schedules; working with Program Heads to ensure all long-term absences are planned.
• Creating/maintaining daily schedules including: co-ordinating with program heads to: create “master” schedules; make substitutions; co-ordinating with rentals & DUO members re: use of space; updating screens and boards as needed; informing PBP staff of changes to regular/posted schedule; informing Program Managers of changes to regular/posted schedule.
• Creating/maintaining class lists including daily ballet class lists, pas de deux, supported adage, Summer School etc.
• Creating/maintaining schedule summaries including streaming in of classes, releve drills, rehearsal summaries, stage rotation, stage rotation for evaluations, evaluation class schedules, etc.
• Resolves scheduling problems by collecting and analyzing information; offering scheduling suggestions to the Program Heads; coordinating solutions.
• Contributes to communication – is the central compiler/disseminator of pertinent information to appropriate stakeholder groups.
• Assisting with Summer School by scheduling individual appointments for auditioning students with Consultants; coordinating placement day catering & facility staff.
• Assisting with parent meetings by working with Production to establish set-up needs.
• Assisting with Special Projects (e.g. AI20) which may include creating blended class lists, collaborating to develop event binder, working with Artistic Director to create week overview schedule, developing and maintaining schedules (daily, meal, non-participant, costume pickup/drop off, teaching rotation, warm up, etc.) in coordination with Project Manager, Food Services, etc.
• Maintains computer skills by attending educational workshops; reviewing publications.

Qualifications / Required Skills

Requirements:
• 5 years hands-on experience in an administrative/clerical role, with scheduling responsibilities in an educational environment.
• Post-Secondary education in Office Administration or a related field.
• Some direct experience in a theatre/studio environment required.
• Prior experience/familiarity with ballet an asset.
• Detail-oriented with excellent organizational skills and ability to problem solve effectively.
• Ability to manage tight deadlines and multi-task to manage multiple competing priorities.
• Advanced knowledge of Microsoft Word and Excel.
• Excellent interpersonal skills complemented by a natural talent for diplomacy.
• Strong knowledge of administrative and office procedures and processes.

Successful candidates must supply Canada’s National Ballet School with a Police Reference Check, in accordance with the School’s Child Abuse/Sexual Abuse Prevention Policy; this will be coordinated through the Human Resources Department of NBS.
