Job Description / Duties

Major Duties and Responsibilities:

  • Act as client liaison onsite during event, ensure rental client customer satisfaction and arrange post-event follow up. 
  • Maintain accurate and up-to-date information of rental events, review client contracts & events timeline; offer high level of customer service. 
  • Develop expertise and familiarity with NBS facilities, and act as a representative of the facility. 
  • Assess situations that may cause potential danger or damage to NBS property or staff; confirm all proper liability insurance policies and standard operating procedures (SOP) are on site and visible for the events. 
  • Serve as the first point of contact on the rental day, answer queries related to the rental, and improvise with on-the-spot problem-solving during the rentals. 
  • Administrative/clerical duties as assigned. 
  • In co-ordination with Security and EMS personnel, responsible for the safe evacuation and necessary emergency procedures for all rental event locations.

Qualifications / Required Skills

  • Minimum secondary school (Grade 12) diploma with additional post-secondary education in Events, Facility or related field. 
  • Minimum 3 years hands-on experience in a special events co-ordinator or related position with exceptional customer service and interpersonal skills. 
  • Knowledge of Microsoft Office (Word, Excel, Outlook); previous experience with EventPro an asset. 
  • Ability to manage competing tasks and priorities in a high energy environment 
  • Ability to build strong working relationships with all rental clients, internal staff & external contractors. 
  • Possess broad understanding of the not-for-profit sector 
  • Significant attention to detail and the ability to work under pressure 
  • Able to work flexible hours, including evenings and weekends

The physical facilities of NBS are comprised of an eclectic mix of historic buildings and a modern centre for the performing arts including dance studios, a theatre, an academic school and offices located in downtown Toronto. NBS is currently inviting applications for the Casual position of:RENTAL LIAISON

Under the direction of the Audience and Client Services Co-ordinator, the Rental Liaison is responsible for offering support to the Audience & Client Services Co-ordinator by acting as the on site representative for, but not limited, to private rentals, corporate rentals, and use of the facility by internal members and external groups. 

Successful candidates must supply Canada’s National Ballet School with a Police Reference Check in accordance with the School’s Child Abuse/Sexual Abuse Prevention Policy; this will be coordinated through the Human Resources Department of NBS.
