Job Description / Duties

Reporting to the Artistic Director, the Company Manager and Assistant to the Artistic Director acts as the primary liaison between the Arts Club Theatre Company and the freelance actors, directors, choreographers, fight directors, coaches and consultants hired in association with company productions, education activities and new play development. The Company Manager also prepares contracts, riders and artist payroll information and provides administrative support to the Artistic Director.

As the primary point of contact for visiting artists, it is integral that the successful candidate be available at any point of time should an emergency arise (including evenings and weekends), particularly with situations related to travel, accommodation, or safety.

The successful candidate will be a highly organized individual with previous theatre experience and an in-depth understanding of the process for contracting artistic personnel from the point of audition to off boarding.


Contracting:
Prepares contracts and riders for actors/directors CAEA artists for all Arts Club Productions, education and new play development work
Sends contracts to artists for signing and files completed contracts with payroll and other agencies as required
Prepares weekly payroll reports to ensure artists are paid in accordance with their contracts
Hiring – in conjunction with HR and managing child supervisors for productions that include children in the cast
Onboarding stage managers and supporting stage managers with issues or concerns related to artists if necessary

Artist Liaison:
Booking travel and accommodation for artists as required;
Ensuring visiting artists have a safe and comfortable stay in Vancouver (and providing support if necessary with issues involving accommodation, transportation, health, or safety.)
Distributing ACTC Welcome Package to all freelance artists
Maintains relationships with key health support individuals, such as on-call doctors, chiropractors, dentists, RMT, etc.
Working closely with/providing schedules and information to the parents of children acting in any Arts Club productions
Collect first aid reports for all Health and Safety show related incidents/injuries and upload the reports to the WCB employer form of injury

Administration:
Organizing auditions for each show in the season, as well as ACTC’s annual general auditions (posting auditions, booking actors, hiring and arranging payment for readers/accompanists, securing audition space)
Doing production checklists and production registrations for all shows, new work projects and education workshops with CTA contracts
Updating Production History annually
Preparing and updating contact lists each season and managing artist data
Providing company contact information to various departments (Box Office, Marketing, Wardrobe)
Working with the Director of Production to maintain and report on the artistic budget for each production with regards to travel, accommodation, auditions and artistic hospitality expenses
Submitting information to payroll to ensure artists’ travel expenses are reimbursed
Preparing monthly spreadsheets to account for expenses incurred on the Arts Club credit card Interpreting the Canadian Theatre Agreement, liaising with Canadian Actors’ Equity Association and the Professional Association of Canadian Theatres
Communicating information about artists to other departments
Booking travel and accommodation for the Artistic Director when necessary
Scheduling meetings as required for the Artistic Director
Updating the Artistic Director’s online calendar as needed
Booking show tickets for the Artistic Director, guests, and other artists, as required
Other duties as requested by the Artistic Director

Qualifications / Required Skills

Bachelor’s degree or pertinent training in a related field
Minimum of three (3) years’ experience working in a similar capacity as an Artist Liaison, Executive Assistant, Company Manager, Stage Manager or Art Administrator
Experience working with CAEA, PACT, VMA or other collective agreements will be considered an asset
Valid Class 5 driver’s license for the Province of British Columbia would be considered an asset
\Ability to work discreetly with artists, staff and sensitive or confidential information
Highly proficient in MS Office applications including Word, Excel and Outlook, DropBox and Casting workbook
Ability or experience working with Adobe professional would be considered an asset
Strong organizational and time management skills
Ability to work well in a fast-paced environment
Ability to multitask, execute a sense of urgency and meet deadlines
Strong communication skills, both verbally and written
Extensive knowledge of artist relations
Excellent problem solving skills
Detail oriented
Ability to work collaboratively and to follow instruction
