Job Description / Duties

Main Purpose & Function:

The Associate Director (AD) is a key member of the senior management team at Vancouver Civic Theatres (VCT) and provides coverage and support for the Director. The AD has operational and financial responsibility with a focus on efficiency, effectiveness, and strategic planning. This senior leadership position is responsible for planning, directing and overseeing identified aspects of VCT operations, including building management coordination with Real Estate & Facilities Management (REFM) services, Security/Stage Door building operations, Office Administration, IT, Parking and other vendor or contract services. The AD is the liaison to the City’s Finance department and is responsible for managing the financial actions of the VCT ensuring financial controls are in place, providing timely and accurate financial reporting, and works with the Director to develop the annual operating and capital budgets and service plan targets for VCT. The position performs risk management and monitors compliance with laws and City policies while supporting department-wide efforts to maximize existing and develop new revenues streams and minimize costs overall in order to ensure a sustainable operation.

The AD indirectly supervises a large number of unionized employees, both auxiliary and full-time, and is responsible for managing employees, including the hiring of staff, coaching, training and development, performance evaluation and attendance management, discipline up to and including dismissal, and representing the Employer in the grievance process.

Specific Duties & Responsibilities:

Develops strategies, operating plans, targets and measures for business areas, including office administration, facilities operations, security, parking, and IT.
Provides strategic leadership and advice to the business with the objective of adding value and maximizing revenues.
Oversees asset management of VCT facilities and contributes to the development of VCT’s Capital Strategic Outlook, Capital Plan and Annual Capital Budget.
Develops and implements innovative business solutions, programs and services.
Provides leadership and oversight of projects, and collaborates with others on integrated solutions and initiatives.
Anticipates and analyzes trends in business and assesses the impact of emerging trends or upcoming needs in order to add value and increase revenues.
Provides coverage support for the Director, Vancouver Civic Theatres, including representing the Director and VCT at VCT board meetings, various events and meetings, and/or on various external Boards or stakeholder advisories.
Develops and manages reporting managers, supervisors and other staff including selection, training, coaching, performance management and all other people practices.
Creates staff development plans to help staff achieve their career goals including assigning work which leverages their skills and capabilities and provides them with opportunities for learning.
Creates an environment of collaboration, teamwork and innovation within VCT. Upholds and advances the City of Vancouver Leadership Competency Model and the City’s commitment to Reconciliation and Equity, Diversity and Inclusion.
Provides leadership and management on all work involving contractors and consultants, such as reviewing service level agreements for conformance with all applicable standards and cost effectiveness, as well as and managing performance and deliverables.
Develops and implements procedures, methods, and standards; ensures controls are created and followed to foster operational efficiency, ensure compliance, mitigate risks, and achieve value added results.
Establishes and administers capital and operating budgets and ensures cost efficiencies by monitoring established costs controls.
Manages budgets and staff resources and provides ongoing status reporting, value analysis and risk management.
Prepares reports and makes presentations as required.
Chairs and/or facilitates meetings with staff, contractors and other stakeholders.
Represents management on special and ad hoc committees such as Labour Management and Occupational Health and Safety.
Performs other duties as assigned

Qualifications / Required Skills

Education and Experience:

University graduation in Business Administration, Finance, Commerce or other related area is required.
A minimum of ten (10) years of related experience with at least five (5) years in senior management, ideally in the Performing Arts.
Demonstrated leadership skills and the ability to make decisions and manage staff in a unionized environment.
Demonstrated experience and expertise in business and financial planning, controls and policies and procedures.

Knowledge, Skills and Abilities:

Strong business sense with a strategic, conceptual and operational orientation.
Skilled in conflict resolution and the ability to collaborate with colleagues in ways that support problem solving and planning.
Superior communication skills, both verbal and written.
Demonstrated ability to create and maintain positive relationships with VCT staff, COV staff and external partners/clients.
Ability to work with and support the VCT Advisory Board.
Ability to work with various levels of government, non-profit organizations and other performing arts organizations.
Strong analytical and problem-solving skills.
Ability to use relevant software programs to prepare reports, proposals and monitor expenditures.
Sound judgement and the ability to effectively and professionally represent the City of Vancouver and VCT.

The City’s COVID-19 vaccination policy is currently suspended and as a result, vaccination against COVID-19 is not required at this time. However, should circumstances change and the City deem it necessary to re-introduce such policy, you may be required to provide proof of vaccination against COVID-19 in order to be eligible to continue performing your duties.

Salary: Pay Grade RNG-111: $112,215 to $147,651 per annum
