Job Description / Duties

Reporting to the Production Manager of Festival Street and working within a large multi-departmental team, the Production Coordinator (Festival Street) will be responsible for the coordination of logistics, equipment and supplies for the production and site management of programming and partner activations in the hub of the Festival Village.


  • Shall include but not be limited to: 
  • Coordinate and maintain an integrated Festival Street production schedule 
  • Coordinate the dissemination of other key logistical documents 
  • Assist in the design and layout of site elements 
  • Create and maintain the supplies and services schedule 
  • Coordinate suppliers to achieve the objectives of the production schedule 
  • Coordinate delivery, setup and install of rental equipment, signage and other supplies as required 
  • Maintain inventory of supplies and equipment at all times and ensure accurate returns 
  • Assist in recruitment and hiring of production staff and supervisors as required 
  • Oversee interns, production staff, supervisors and volunteers as required 
  • Assist in creation of appropriate operations manuals and training for Festival Street staff and volunteers 
  • Coordinate load in and load out for programming and sponsor activations 
  • Assist in the coordination of vehicle traffic with Festival Venues e.g. red carpets, car path 
  • Collaborate with TIFF Festival departments, external partners and vendors to ensure project goals and timelines are met 
  • Maintain relations with property owners, community partners, the City of Toronto, and other stakeholders regarding site setup, access and use 
  • Participate in the Festival Street debrief process and write a detailed post mortem 
  • Perform other duties and responsibilities as assigned 
  • Execute the highest services standards, policies and procedures for the Event Production area as they relate to the TIFF Visitor Experience Strategy 

Qualifications / Required Skills

Minimum Requirements:

  • Demonstrated experience in large event or festival production, logistics, or planning 
  • Previous festival experience an asset 
  • Excellent planning, organizational, and problem solving skills 
  • Experience obtaining bids and working with vendors 
  • Excellent verbal, written, and inter-personal communication skills 
  • Experience and knowledge of city regulations, departments and services a strong asset 
  • Proficient in Microsoft Office and web-based file sharing 
  • Ability to work both independently and in a team environment 
  • Desire and ability to take initiative and coordinate projects 
  • Ability to work and respond well in fast-paced and high pressure environments 
  • Understanding and commitment to creating a superior product 
  • Demonstrated leadership and supervisory abilities 
  • Ability to maintain efficiency while working under multiple, strict and tight deadlines 
  • Keen attention to detail 
  • Understanding and commitment to superior client servicing and awareness of industry trends 
  • Adaptable to a flexible work schedule including early mornings, evenings and weekends
