Position summary

Reporting to the Academic Department Manager - Production and Operations, the Venue Operations Manager is responsible for event management in the Departments of Art & Design, Drama, and Music. This includes the Department's Studio Theatre season, the Music department's range of concert series', and other supporting events when appropriate. The position is responsible for the administrative aspects of other Department events and negotiates on behalf of these departments regarding associated rights for performance and artist contracts as required. The position manages and coordinates, either directly or through support staff, most aspects of Timms Centre rentals and collaborates with Academic and Non-Academic staff of the Fine Arts departments for ancillary uses of the Timms Centre. This position requires work hours outside of normal working hours which can include weekends.

Duties

Operations Manager

• Oversees the front of house and box office operations in the Timms Centre, Convocation Hall, Winspear events and the Fine Arts Building, including monitoring ticket sales and researching audience demographics. Manages all rental operations, budgeting, contracts, and invoices, in the Timms Centre, the Fine Arts Building, and Convocation Hall.
• Manages event scheduling and non-technical facility/equipment maintenance.
• Manages and supports performance rights and/or artistic contracting for Department as required.
• Advises the ADM of Production and Operations regarding new ideas, improvements, and repairs and proposes changes and solutions to recurring issues.
• Ensures that front of house operations comply with health & safety regulations, employment standards, union and association requirements, liquor licensing, university policies, and any other legal requirements for operating a venue that serve the public.
• Collaborates with the Fine Arts Info and Outreach Coordinator to support audience development and retention as well as presenting marketing ideas or strategies in support of events in Fine Arts.

Talent Manager

• Identifies, acquires, manages and supports collective and individual talent. Proactively identifies and plans for future talent needs.
• Works towards establishing a diverse workforce reflective of the broader community by identifying and working to remove barriers to access.
• Builds and strengthens the team by leveraging diverse capabilities of staff.
• Creates an environment where diverse ideas, perspectives, and achievements are recognized, rewarded and celebrated.

Relationship Manager

• Takes initiative to develop and manage relationships with performing arts groups, bringing presentations to the Fine Arts Departments that will enhance student and community access to new and different works. Manages and carries out all aspects of the department's relationship with Canadian Actor's Equity. Liaises with other professional arts organizations, unions, and associations as required.
• Develops productive relationships with service partners assigned to the area and collaborates with them to provide information and services.
• Demonstrates inclusivity in work processes and work teams. Actively seeks out and invites alternative viewpoints in planning, discussions, and decision making. Recognizes and mediates or removes barriers to inclusive engagement.
• Recognizes conflict and takes steps to address issues by mediating with involved parties.
• Liaise with contract maintenance, Parking Services, SMS, Finance, and Facilities and Operations as appropriate for maintenance of each event space

Strategic Resource

• Reports to the ADM Production and Operations on the status of and monitors the Timms Facilities fund.
• Tracks progress toward annual ticket sales targets and events-related revenues, as set out by the ADM Production and Operations in collaboration with department Chairs, for Drama and Music as these provide revenue for Department activities.
• Manages and monitors existing contracts with the external ticketing service provider, catering firms and event supply companies.
• Initiates, reviews, and writes policy, in direct collaboration with the ADM Production and Operations, that affects front of house staff, rental clients and guest artist engagements.
• Completes environment scanning and assesses opportunities and risks. Tracks key analytics and develops reports to support decision making.
• Anticipates major changes affecting the area and helps mobilize resources to implement changes. Remains focused on the desired outcome to help self and others implement change.
• Sees connections, patterns or trends in the information available and identifies their implications.
• Uses all available information appropriately to guide decisions and negotiations to meet objectives, while acting with integrity.

Department summary

The University of Alberta is among Canada's largest and most-respected research universities. The Department of Drama has an outstanding reputation in entwining theatre practice with theory through a variety of degree offerings, which include liberal arts undergraduate (BA, BA/BEd, BA Honours) and graduate (MA and PhD in Performance Studies and Dramaturgy) qualifications, and fine arts programs which offer professional training at the undergraduate (BFA specializations in Acting, Stage Management, Design and Technical Production) and graduate level (MFA specializations in Directing, Design, Voice Pedagogy, and Theatre Practice).

The Department of Drama operates the Timms Centre for the Arts, a highly acclaimed theatre complex, and additional training facilities within the adjacent Fine Arts Building. In total, the department's resources include exclusive use of four performance venues (proscenium stage with full fly tower, two flexible ‘black box' studios, and a ‘corner stage' studio), six rehearsal halls, five fully equipped and professionally staffed workshops, and a recording studio. The department currently produces its Studio Theatre series - five public productions per year on its main stage, as well as another twenty smaller scale productions staged throughout the department.

The Department of Music offers three distinct undergraduate degrees (BMus, BMus/BEd, BA) and graduate degrees in Performance, Choral and Wind Band Conducting, and Composition (MMus and DMA). Music operates the 400-seat Convocation Hall and a smaller recital venue, where activities such as research, recordings, masterclasses, and juries occur in addition to 100+ performances.

The Department of Art and Design offers degree programs at the undergraduate and graduate levels in Fine Arts, Design Studies (Industrial Design and Visual Communication Design), and the History of Art, Design and Visual Culture, and encompasses the FAB Gallery and a university centre of research excellence in printmaking.

Qualifications / Required Skills

Minimum Qualification

• Undergraduate degree supplemented by some education in business and accounting.
• Minimum 5 years in theatre or arts administration/management.
• Excellent communication, supervision, and interpersonal skills.
• Assets include experience working within a post-secondary environment, special event coordination, and contract negotiations.
• Production Management or Live Event Producing experience is an asset.
