This is a one year full time contract position. Reporting to the Production and Theatre Operations Manager, you will be responsible for overseeing the co-ordination of ticket sales for all internal NBS events and overseeing Front of House operations for all events in the Betty Oliphant Theatre. As Rentals Administrator, you will be responsible for the full-cycle administration of the facility rental function from initial point of contact to invoicing clients.
Major Duties and Responsibilities:
1st contact for prospective rental inquiries - conducts venue site tours with prospective rental clients
Drafts contract agreements for facility use clients. Secures deposit/insurance certificates, where applicable
Handles all contract logistics and service orders and responds to RFPs
Acts as rental agreement client relationship liaison onsite during events or sends an appropriate delegate – this may require flexible hours to be available for evening and weekend events
Manages all aspects of the Front of House department by recruiting, training, scheduling & training all FOH employees; Generating show/event notes; Keeps updated training and evacuation manual; Manages public relations issues which occur at the theatre during a performance
Co-ordinates ticket sales and reporting for internal events; responsible for Box Office for internal NBS events
Tracks audience attendance for patron safety, NBS Grant Applications and further development opportunities
Responds to online, telephone and onsite inquiries for theatre, studio, facility rentals, in a timely manner
2 years of experience in Front of House and Box Office supervisory role and/or a minimum of three years hands on experience as a Rental Co-ordinator
Post-Secondary education in Theatre and/or in Facility Management, Business, or Hospitality and/or equivalent experience
Extensive knowledge of MS Office including Outlook, Word, Excel, Event Pro, E-Register, Raiser’s Edge
Superior customer service skills with strong time management and organizational skills
Excellent communication and interpersonal skills; demonstrated leadership experience
Certifications in First Aid and Smart Serve would be assets
Ability to successfully manage competing tasks and priorities in a high energy environment
Successful candidates must supply Canada’s National Ballet School with a Police Reference Check in accordance with the School’s Child Abuse/Sexual Abuse Prevention Policy; this will be coordinated through the Human Resources Department of NBS.
