Job Description / Duties

The Tour Coordinator is accountable for the planning and sales of the Arts Club’s touring activities. This position is charged with the development and implementation of short- and long-term strategic marketing plans aimed at maximizing tour ticket revenue. The Tour Coordinator drives tactical work in support of the Arts Club’s marketing plan, including direct mail, digital advertising, media buying, and promotions. The Tour Coordinator plans the touring schedule each season in collaboration with our Production team, books travel and accommodation for each show on tour, and builds relationships with theatre managers around the province and beyond.

The role is also secondarily responsible for supporting the Associate Director of Communications and the Marketing Manager in copy writing, copy editing, review, and brand management in various digital and physical collateral materials for both touring and regular season productions.

This position reports directly to the Director of Marketing & Communications and the Marketing Manager, but will work closely with all members of the marketing team, particularly the Associate Director of Communications, Marketing Manager, Sales Systems Specialist, Marketing Coordinator, Communications Coordinator.
The role will also work closely and liaise with the Executive Director, Director of Finance, and the Artistic and Production team, including the Artistic Director and Director of Production, and the stage management team.

DUTIES AND RESPONSIBILITIES
● Consult with Arts Club leadership including the Director of Production, Artistic Director, Director of Marketing & Communications, and Executive Director to discuss programming and tour schedule.
● Demonstrate leadership in accordance with the Arts Club’s mission.
● Participate in the development of annual marketing budgets.
● In association with the Director of Marketing & Communications, prepare and manage individual show budgets including revenue goals, ticket prices, subscription prices and submit all tour invoices for payment.
● Work to conceive and oversee innovative marketing plans to accomplish established marketing and sales objectives for touring productions.
● Develop and implement a cohesive marketing plan for the tour subscription series including short- and long-term goals, collateral design and distribution, advertising, and media coverage
● Achieve revenue and ticket goals by planning, developing, implementing, and evaluating advertising, direct mail, digital advertising, and promotional activity action plans.
● Oversee production of all marketing materials for each touring production including print/radio ads, posters, rack cards, brochures and the like.
● Coordinate the design and distribution of a show programme for each tour.
● Coordinate detailed schedules, timelines, costs, and expected ROI for each action item.
● Coordinate artists’ comps in conversation with the venue contact.
● Undertake critical analysis of past and future plans to determine success and areas of weakness and opportunity.
● Track goals and benchmarks by maintaining reports for revenue and sales and provide forecasts, revenue tracking, and expenditure reviews to ensure plans are on track.
● Work with the Tour Technical Director to coordinate itineraries in compliance with CTA and IATSE regulations.
● Coordinate tour cast and crew travel and book accommodation in compliance with CTA and IATSE regulations.
● Produce presentation contracts for all venues each tour season including pricing and inventory plans.
● Facilitate the relationship between the Arts Club and theatre managers around the province and beyond.
● Identify and acquire new touring venues by attending trade shows like ‘Pacific Contact’ and by conferencing with tour venues throughout the province.
● Develop and implement specific promotional campaigns for each production in association with the marketing managers from each tour venue.
● Negotiate and make all sales and booking arrangements for touring performances, including budgeting, sales solicitation, contracts, booking fees, and invoices.
● Meet regularly with Metro Vancouver tour venues to ensure all campaigns are being managed properly and goals are being achieved.
● Grow the tour in both locations and revenue.
● Represent the Arts Club at trade shows.
● Assist the Associate Director of Communications and the Marketing Manager in copy writing and editing for ad sales and engagement materials, as well as copy review of other written materials.
● Support department marketing and communications needs beyond the tour as capacity allows, particularly with copywriting, editing, and review.
● These duties may change as the Arts Club’s leadership identifies the need at any time.

Qualifications / Required Skills

SKILLS AND COMPETENCIES
● Strong written and verbal communications skills.
● Intermediate skills with Microsoft Office suite, including using excel spreadsheets and formulas to calculate and track sales revenue and expenses.
● Fluency with technology and digital collaboration tools.
● Experience with an integrated ticketing database, specifically Tessitura, is an asset.
● Experience with Prospect2 or similar email marketing tools is an asset.
● Experience and demonstrated ability in writing compelling sales copy for multiple platforms.
● Effective budgeting skills and a demonstrated ability to work with limited resources while still being creative and effective
● Ability to manage multiple projects simultaneously in a fast-paced environment.
● Ability to prioritize work, pay attention to detail, demonstrate a strong sense of urgency, and carry projects through to completion in a timely manner.
● Results-oriented team player with the ability to take initiative and drive programs.

QUALIFICATIONS
● Post-secondary education in theatre or business, with a combination of 2–4 years of education and professional experience
● A valid driver’s license and clean driving record is an asset.
● Familiarity with not-for-profit performing arts marketing plans.

Additional Information

Salary: $45,000 per annum.

Employment Type: Full-time, 40 hrs. per week (Monday to Friday, 9:00 AM–5:00 PM)*

*Some evenings/weekends are required, including availability after office hours to manage any emergencies when the cast is on tour.
