Job Description / Duties

YPT is currently searching for a candidate for the position of Ticketing System Administrator reporting to the Associate Director of Marketing. This is a full-time position starting as soon as possible. Please note that during the current public health crisis, most staff are working from home, with some in-person work as needed.

KEY RESPONSIBILITIES:
The Ticketing System Administrator is responsible for managing all aspects of YPT’s Ticketing & Customer Relationship Management (CRM) software, Theatre Manager, and providing exceptional service to all YPT patrons, donors and visitors as well as internal departments by maintaining the ticketing database and support systems.

• Build and maintain all events in Theatre Manager including but not limited to price charts, promotions, pricing policies, and zone maps
• Advise and coordinate with management to track sales, patron trends, donations, and interactions
• Manage all ticketing system projects, including but not limited to technical enhancements, operational improvements, invoicing, ticket printing and delivery

Liaise with Arts Management Systems to:
o Troubleshoot and resolve system issues
o Oversee the successful rollout of technical upgrades and new features

Manage CRM including:
o Maintaining customer data collection to ensure accuracy and compliance
o Collaborating across departments to ensure the effective capture and sharing of strategic data to align strategies, drive sales, and promote audience development and loyalty
o Conducting data extractions and analyses

• Compile statistics and generate reports to assist with sales and marketing decisions
• Seek to increase sales by effectively managing event inventory, achieved through regular reporting and efficient release of holds
• Maintain box office policies and procedures, in tandem with the Associate Director of Marketing
• Create and maintain user training procedures and manuals, and provide training and support across departments, as required
• Ensure settlements and financial balancing are accurate and provide regular reporting
• Assist Box Office staff with troubleshooting, customer queries and training
• Keep abreast of the latest ticket system capabilities, industry best practices and pertinent legislation
• Actively participate and work strategically as a member of the Marketing team

Qualifications / Required Skills

• Minimum of 2 years of box office and ticketing administration experience including building events, implementing pricing matrixes and promotion codes
• Knowledge of ticketing software and database applications
• Knowledge of web design, HTML and CSS coding is an asset
• General knowledge of the accounting and fundraising components of a CRM system
• Proven track record in providing exceptional customer service
• Excellent analytical, communication, and interpersonal skills
• Strong computer skills with advanced knowledge of Microsoft Office
• Exceptional attention to detail and accuracy
• Experience working both independently and in a team environment
• An interest in the arts is a definite asset
