Job Description / Duties

POSITION DESCRIPTION

The Westdale, Hamilton's charitable community theatre, needs a customer-focussed, tech-savvy problem solver to fill the role of Operations Manager. The ideal candidate remains calm under pressure while juggling tasks from a variety of stakeholders. With experience planning and running in-person and virtual events, the Operations Manager recognizes they control the community's experience at The Westdale and seek to build The Westdale's reputation and brand.

Reporting directly to the Executive Director, the Operations Manager is the management member of The Westdale team responsible for day-to-day operations of the facility. This includes facility operations and maintenance, all rental business, and leadership and oversight of WCG and external personnel to ensure smooth operations.

KEY RESPONSIBILITIES

Management
• Manage daily theatre operations
• Respond to problems and challenges that arise during daily operations
• Oversees the daily activity of the ticketing and POS systems and ensures the ticketing and POS systems run smoothly by troubleshooting and fixing problems therein.
• Responsible for the development, negotiation, and management of all rental contracts
• Acts as the Executive Director's 'second-in-command', assuming temporary responsibility of operations during Executive Director's absence
• Prepares Operations Reports for WCG Board meetings

Fiscal
• Manages concession purchases, sales, and inventory, and modifies offerings as needed/market dictates
• In collaboration with the Executive Director, manages and develops operational and capital budgets and forecasts to support strategic needs and operational requirements
• Creates, oversees and implements budgets for operations, facility maintenance, capital purchases and technical productions
• Prepare estimates of time and resources required for events, then report after on revenues and costs
• Develops and prepares reporting on operations finances to show progress towards annual targets

Supervisory
• Supervises staff, including employee selection, scheduling, development, coaching, and discipline, with the assistance of the Executive Director as needed
• Develops and maintains policy and procedure manuals related to all health and safety, technical and production matters related to The Westdale.
• Manages the recruiting, screening, training, and scheduling of volunteers for operations

Facility
• Manages all aspects of facility operations, including capital upgrades and purchases, renovation, maintenance and repairs, custodial scheduling, and building security
• Negotiates with external service providers and suppliers as required
• Creates, writes, and implements building safety plans, including occupational, fire, facility, and public safety
• Responds to emergency calls (out of and inside work hours) relating to building maintenance and security

External
• Acts as the first point of contact for external parties, then collaborate with Executive Director and other parties to plan and run events
• Develops, cultivates, and maintains effective relationships with stakeholders, including the community, artists, rental clients, and staff
• Ensures compliance with all regulations, other relevant legislation, and internal controls
• Ensures COVID-19 Protocols and public health guidelines are always followed

Qualifications / Required Skills

EXPERIENCE AND SKILLS

Excellent organization skills and attention to detail
Ability to prioritize effectively and meet competing deadlines
Excellent written and verbal communication skills with an ability to effectively communicate with individuals at all levels
Proven capacity to multi-task and handle a high volume of work
Customer Service in a leadership role
Fluent in MS Office Suite - Word, Excel, Powerpoint, and Outlook
Basic financial reporting, preferably using Quickbooks
Smart Serve certified

Additional Information

SCHEDULE
Evenings and weekends will be required as needed
