Job Description / Duties

IATSE Local 411 is a not-for-profit union currently seeking to fill a full-time office assistant/members services position.

Responsibilities include but are not limited to:

• Telephone and in-person reception
• Recording and relaying information
• Providing general information to members, industry professionals and the general public
• Develop and maintain filing systems that promote efficiency and information access
• Order office supplies and maintain inventory
• Typing and proofreading correspondence, forms and other documents
• Maintaining and preparing reports from manual or electronic files, inventories, mailing lists and databases
• Photocopying and collating documents for distribution, mailing and filing, faxing
• Print and mail out membership dues invoices
• Data entry, spreadsheet related work, creation of forms, internet research
• Process incoming and outgoing mail/courier shipments
• Maintain members’ digital database
• Cash/cheque handling & operation of Point of Sale machine
• Update and maintain company's social media outlets
• Assist with planning and implementation of meetings, events, training sessions, seminars and conference calls
• Coordinate automated group voice and text message broadcasts as required
• Ensure office equipment is properly maintained and serviced
• Maintain neat and tidy office environment

Qualifications / Required Skills

• Post-secondary education. Office administration certificate an asset*
• Worker Occupational Health and Safety Awareness certificate
• WHMIS 2015 certification.
• Minimum 2 years experience as a receptionist/administrative assistant
• Proficiency in Microsoft Word, Excel and Outlook. Experience with Microsoft Access an asset*
• Internet skills including use of emails, group messaging, data collection and social media
• Numeracy and literacy skills
• Must have strong time management ability

Salary: $30 - 40K
