ROLE STATEMENT
Position Title: Senior Technical Coordinator
Department: Production
Reporting to: Manager of Technical Production
Key Relationships: Director, Production, Manager of Production, Front of House Manager, and Production Coordinators, Chief Programming Officer and staff across various departments, Chief Operating Officer and staff across various departments, Human Resources, Artistic Companies, Cultural Organizations and Rental Clients, and their representatives including Artistic Directors, Production Managers, Lighting and Sound Designers, Staging and Audio Visual Supply Companies.

Summary of Function:
Reporting to the Manager of Technical Production, the Senior Technical Coordinator is responsible for the technical elements of Harbourfront Centre’s main building, The Artport, and surrounding outdoor venues. Harbourfront Centre operates a ten-acre site that encompasses five theatres – Fleck Dance Theatre (capacity 446), Harbourfront Centre Theatre (capacity 350), Studio Theatre (capacity 196), Brigantine Room (cabaret-style 250), and Lakeside Terrace (theatre 250); and various alternative multi-purpose spaces for presentations, workshops, school classes, camps and other activities.
Outdoor stages include the large amphitheater-style Concert Stage (1300 seated, 3500 standing), the smaller Stage in the Round and summer music concerts in the Toronto Music Garden. The site also includes two art galleries; six working craft and design studios; various alternative exhibition spaces; and the central public spaces, Canada Square and Ontario Square. The Senior Technical Coordinator will support the Production Coordinator team as needed for technical advance for all events and performances taking place in the Artport Building and in the various outdoor venues. Specific duties/support functions to include: develop the technical plan and schedule for each festival or event; design lighting and sound, determine artistic backline, devise show and crew schedule; advise production and programming staff on technical riders and production estimates; oversee and support technical crews during festival and events; perform minor repairs as necessary; and establish and maintain effective working relationship with representatives of various program partners, companies and cultural groups, artists, vendors, and co-workers.

DUTIES
Technical Co-ordination
• Ensure production equipment in all venues is in good working order. Coordinate repairs and service as needed.
• Coordinate, schedule and manage outdoor venue production equipment load in, load out and maintenance.
• In collaboration with Production Coordinator(s), interface with programming internal partners and external clients to assess needs, answer questions, assist with unique circumstances and develop new solutions
• Attend planning, programming, partner and clients meeting to exchange information and ideas
• Ensure schedules reflect assessment within the technical packages prepared by Production Coordinator
• When required, order backline and coordinate delivery and return as needed
• In conjunction with the event Production Coordinator, determine the necessary technical support required at each theatre or venue, including lights, sound, video, staging, and other special needs.
• When required, arrange for rental of equipment.
• Provide Production Coordinator(s) and Artistic Directors/Producers with accurate costings.
• Participate in the evaluation of festival and events.
• Participate in regular department and festival meetings and follow through on technical production action items.

Staff Oversight and Scheduling
• In conjunction with the Production Coordinator, schedule the work of the technical production crew and determine the size of crew
• Ensure all work is being performed in a safe manner and according to Health and Safety requirements and event safety best practices.

Financial Management
• Assist with the preparation and control of production budgets
• Obtain competitive quotes from external vendors and evaluate quotes for accuracy
• Reconcile cash advances and expense reports as required
• Complete show and event production settlements in a timely manner for the Senior Planning Coordinator

Administration
• Ensure all events, staffing, production schedules and other related functions are captured in Harbourfront Centre’s event management systems Artifax

Operations and Maintenance of Stage Facilities
• Maintain and safeguard the technical assets, including supervision of the use of lighting, sound, video, communications equipment, and the use and maintenance of stage facilities
• Orient clients and visiting productions to safety, technical characteristics and other areas of facility operations; facilitate the use of the technical facilities by the resident company and others engaged by or renting the facility
• Monitor the condition of equipment including lighting, sound, and rigging equipment; and perform preventive maintenance on equipment
• Attend technical rehearsals, in order to supervise and assist in the technical aspects of the mounting the show.
• Liaise with Harbourfront Centre Site and Operations department to identify requirements related to the operations of the site for events and scheduling

Work, Health and Safety (WH&S)
• All staff are required to take reasonable care of their own health and safety and that of other personnel (including volunteers and interns) who may be affected by their conduct.
• Ensures compliance with applicable obligations under the Occupational Health and Safety Act, R.S.O. 1990, c.O.1.
• Ensure technical staff and production team of visiting companies and rental clients have the required certificates to perform duties

Qualifications / Required Skills

Key Requirements
Essential Criteria
• Post-secondary education in Technical Theatre Production
• Three years working knowledge of techniques, methods and procedures of theatre, dance, and music productions and presentations including stage, set, sound and lighting design and implementation; stage management; computerized lighting systems; stage carpentry; appropriate safety precautions and procedures.
• Strong understanding of the Ontario Ministry of Labour Guidelines for the Performance Industry.
• Experience working alongside and supervising IATSE union stagehands
• Strong understanding of WHMIS.
• Strong passion for the arts and client engagement.
• Computer proficiency in Word, Excel, and PowerPoint.

Interpersonal
• Highly effective communication, presentation, interpersonal and relationship building skills required in working with individuals at all levels of the organization, arts and cultural partners, and rental clients; foster open and honest relationships and communication, respecting confidentiality.
• Collaborative, seeking and celebrating the contribution of others.

• Results oriented and proactive, with the ability to multitask, prioritize and work independently.
• Uphold the highest ethical standards and a pursuit of excellence and innovation.
Licensing and Other Requirements
• Valid ‘G’ Class driver’s license with a clean driving record
• Current Working at Heights Certificate.

Desirable Criteria
• Experience in the not-for-profit sector
• Knowledge of Canada’s art community
• Previous experience with event management and CRM databases an asset. Knowledge of AutoCAD, VectorWorks is considered an asset.

Working Conditions
• Work schedule varies, working weekdays, evenings, weekends, holidays and/or irregular hours and overtime.
