Job Description / Duties

Purpose of the Role

The Company Manager will model behaviors, policies and processes that ensure a safe, brave work environment for all company members.

They collaborate with Finance, Production, the Majestic Theatre and Artistic teams on onboarding and working practices for staff, artists and production team. They support the company with day-to-day administration, and provides assistance with finance, human resources, artistic and production, and travel & hospitality.

Duties and Responsibilities include, but are not limited to:

Administration
- Set up and maintenance of administrative and facilities calendars, using the Outlook and Propared scheduling systems
- Set up and maintenance of physical and digital filing system for contracts, HR contracts, Industry information.
- Prepare and maintain master schedules;
- Provide administrative support to the senior management.
- Attend and record meeting minutes as required
- Efficiently archive contracts and other show documents.
- Process weekly timesheets for recording studio sessions for invoice creation
- Attends weekly M.O.T.H. Recordings meeting
- Other administrative duties as required

Financial
- Process and reconcile department invoices, check requests, credit cards and other expenses.
- Assist in the accurate tracking of departmental expenses and payroll as needed
- Oversee and reconcile petty cash
- Oversee merchandise sales and reconciliations

Human Resources
- Assist Human Resources with Worker’s Compensation and Disability audits, reports, correspondence and record keeping
- Assist with Job postings, recruitment and interview coordination
- Assist with health insurance and benefits administration including, new enrollment, terminations, open enrollment and communications.
- Complete hiring documents for new hires and submit them in a timely and accurate fashion.
- Assist in the accurate tracking of vacations and other leave
- Oversee new hire orientations and onboarding as needed (Back up support for HR Director)
- Maintain accurate and compliant employee records (supporting HR & Payroll Manager)

Hospitality
- Manage Artist and crew on-site experiences, including catering, hospitality, dressing room set-ups, rider fulfillment
- Manage relationships with outside hospitality related vendors including caterers, florists, etc.
- Provide on-site, day-of-show artist services, support and information.
- Assist and co-ordinate special events such as opening/closing night parties.
- Manage and track budget lines for hospitality and events
- Working with the Production team, respond to needs of cast and crew including but not limited to rehearsal spaces, rehearsal needs

Travel
- Oversee the management & coordination of all travel and housing for visiting and touring artists, technical and production staff for all productions, tours & special events.
- Arrange Travel and Accommodations for Executive Producer, Managing Director, Artistic Producer and management team
- Maintain database of travel information for company personnel and contracted artists and staff
- Curate, manage & maintain relationships with local housing & travel vendors.
- Manage and track budget lines for artist travel, per diem and housing
- Provide Finance department with all pertinent financial information re: travel expense reports, per diems and other expenses
- Create and distribute venue and region information packages for travelling company

Qualifications / Required Skills

- 5 or more years of experience in the entertainment or theatrical industry or related field
- Familiarity and/or working knowledge of Non-Profit or Commercial or Regional or Touring Theatrical productions.
- Strong organizational and administrative skills, including experience developing/executing contracts, correspondence, and other documents.
- Experience making travel and/or housing arrangements, including coordinating complex logistics and working within assigned budget
- Ability to simultaneously handle multiple projects with attention to detail, able to work accurately and efficiently and meet deadlines.
- Excellent written and verbal communication skills.
- Familiarity with budgets and/or comfortability with finance or basic accounting principles
- Ability to work both independently and in a team environment, and demonstrated good judgment when issues need to be escalated.
- Excellent interpersonal skills, tact, and the ability to successfully interact with all levels of internal and external contacts
- Experience and training in Outlook, Word, Excel, Adobe Acrobat & Quickbooks Desktop is an asset
- Positive, articulate, outgoing, flexible, calm under pressure, friendly personality; a sense of humor a plus!
