Job Description / Duties

Reporting to the General Manager, the Manager of Operations will lead and coordinate all activities related to operations for Yonge-Dundas Square site and office. This person will be part of the Senior Management team and is the primary contact internally and externally for all operational requirements.

The successful candidate will be responsible for procurement of services, rentals for events, communication with internal and external stakeholders and manage all onsite activities related to the role.

As Yonge-Dundas Square responds to shifting operations during the global pandemic, duties and responsibilities for this position may shift according to the ability to resume “in-person” events.

Major Responsibilities include, but are not limited to:

Operations
• Manage the contracts with external suppliers for Security, Cleaning & Waste Management, HVAC, Plumbing, Digital Infrastructure, IT, Phones & Computer support etc.
• Build and maintain strong relationships with external suppliers and contractors.
• Act as first point of contact to service contractors and resolve incoming telephone calls and e-mails in in a timely fashion.
• Act as first point of contact with Toronto Police Service and other emergency services.
• Participate in neighbourhood relations and coordination with local businesses.
• Provide timely and pertinent updates to the General Manager and the Board regarding onsite operations, health & safety and security.
• Ensure compliance with all relevant Federal, Provincial, City and YDS bylaws and guidelines.
• Prepare maintenance plans, upgrades to equipment, assess damage/repairs to the facility.
• Act as the Management representative on the Joint Health & Safety committee.
• Assist the General Manager in the preparation and budgeting of capital improvements.

Administration
• Project manage the flow of information between YDS and service contractors, including identifying and communicating critical paths, contractor guidelines/ invoices and ensuring deadlines are met.
• Manage the development, administration & monitoring of the assigned budgets including processing, tracking and submission of purchases, contracts, revenues and expenditures and ensure expenditures are controlled and maintained within approved budget limitations.
• Support the General Manager in the preparation of RFP & RFQ for the procurement of services.
• Ensure the office premises are kept in a safe and secure manner.
• Perform other duties as assigned by the General Manager.

Qualifications / Required Skills

Key Qualifications:
• Post-secondary education in a discipline pertinent to the job function or a minimum of 3 years relevant experience at a management level in events, facilities, or performing arts venues.
• Ability to work independently and in a team environment.
• Proven ability to communicate effectively with customers/clients/contractors.
• Practical experience in coordinating contractors and external suppliers involving a wide range of contracts and trades.
• Knowledge of relevant legislations, regulations, codes, collective agreements, protocols and policies such as Employment Standards Act, Human Rights Act, Occupational Health and Safety, Public Health protocols, AODA, WHMIS, relevant City By-Laws, etc.
• Understanding of Computer and IT systems, experience of Microsoft software incl Office, Outlook, 365 and online web meeting/collaboration products.
• Experience with Ungerboeck Software ( for event planning ) , AutoCad 2018LT and/or Sketchup is considered an asset.
• Outstanding written and verbal communications skills, interpersonal relationship management, conflict resolution and problem-solving abilities
• Excellent and proven organizational skills including the ability to prioritize, react quickly to changing circumstances and make good analytical decisions based on information available, and meet deadlines.
• Successful applicants can expect to work unusual hours(evenings, overnights and weekends ), in often physically demanding conditions, such as being outdoors, dealing with uneven terrain, stairs & steps, in different weather conditions, and in large crowds ( once public gatherings are allowed ).
• Ability to perform moderate lifting (up to 40lbs).

Salary: Salary Range: $65,000 to $75,000
