Job Description / Duties

Typical Job Duties:

a. Executes and maintains performer contracts and theatre rental agreements, and organizational paperwork
regarding event details and the division’s administrative functions.
b. Requests in advance of show all cheques required such as artist guarantees, client deposits, box office
advances, and revenue sharing between CPAC and the client.
c. Collaborates with staff to prepare tariff tracking and payment.
d. Compiles and completes all show statement information and post show reconciliations.
e. Liaises with rental clients.
f. Attends co-presentation events and reconciles events with promoters.
g. Books all accommodations required for CPAC presented shows.
h. Maintains and communicates event details, changes, general operations and usage through
correspondence and event memos with rental clients, performers, promoters and staff.
i. Maintains event files; enters data into room booking software; and codes invoices.
j. Participates in the production of marketing materials in collaboration with other division staff.
k. May coordinate and supervise staff and volunteers; including hiring, training and scheduling.
l. Assists the Manager with annual division event planning and projects as assigned.
m. Collaborates with building operations staff to organize maintenance and janitorial needs for the venue.
n. Acts as back-up to other division staff during absences inclusive of ensuring the ticketing function is
complete, as necessary.
o. Maintains the basic administrative functions of the Division in the absence of the Arts and Culture Division
Manager.
p. Assists in organizing and ensuring the security of the building and safety of the patrons and clients.
q. Performs any other related duties as assigned.

Qualifications / Required Skills

• A Bachelor of Arts degree or a diploma from a community college in a related field, or an equivalent combination of education, training and experience
• A minimum of five years of administrative experience is required
• Experience working with and supervising staff and volunteers
• Experience with ticketing and room booking software
• Experience with event planning and performer liaison
• Experience in marketing, publicity and promotions are considered an asset
• Class 5 BC Driver’s License
• First Aid Level 1 with CPR

Additional Information

Hours of Work: Guaranteed 35 hours of work per week. Due to nature of the work, it will be necessary to work a variety of shifts, including days, nights, and weekends. This position is eligible for flex time. This position is eligible for partial Work-From-Home consideration.

Salary: Salary: Wage rate as per the Collective Agreement between the CVRD and IATSE Local 168, $36.47 per hour (2023 rates). Benefits are included as per the IATSE Collective Agreement.
