Job Description / Duties

The Theatre Production Coordinator participates in planning, development and evaluation of Theatre production activities, which includes arranging rights and royalties, ordering scripts, updating and maintaining annual and individual production schedules and monitoring production deadlines. Other responsibilities include preparing, monitoring and maintaining production budgets; tracking revenues and donations; monitoring purchases, including processing standing purchase orders, cheque requisitions, petty cash, invoices and receipts; keeping up-to-date accounts and reconciling these to Finance Department records.

The Coordinator consults with directors, production areas, and department head regarding specific production needs for students and volunteers; assists with recruiting and assigning students and volunteers for productions; liaises with Career Centre to coordinate funded work-study positions; prepares production budget in consultation with the Department Head, directors, designers, and production staff; organizes and schedules room bookings for department’s theatre, studio and meeting spaces, and books rentals of department’s theatre and studio spaces for external users.

The Coordinator will also coordinate production programs, including soliciting materials, editing and layout of contents; and works with Publicity Coordinator, University Advancement Office, and Department Head to find advertisers, sponsors and donors for productions, and coordinate production programs. 

 

Qualifications / Required Skills

  • Two year post-secondary diploma (Theatre or Business Administration preferred), with demonstrated knowledge of accounting practices and Theatre production requirements.
  • Minimum of three (3) years’ relevant work experience, preferably in a post-secondary environment.
  • Ability to remain calm under pressure, maintain confidentiality, and work effectively in a team environment.
  • Well-developed interpersonal and written/oral communication skills.
  • Experience with current practices in performance theatre production management.
  • Experience in planning, monitoring and maintaining budgets, understanding of financial statements.
  • Experience with fundraising campaigns, sponsorships and audience development.
  • Excellent computer skills with advanced knowledge of Microsoft Office Professional.
  • Experience working with the public, preferably in a performing arts context.
  • Previous experience in coordinating student and/or volunteer job duties preferred.
  • High Levels of organization and resourcefulness. Ability to function with minimal supervision.
  • Very good working knowledge of modern office practices and procedures.
  • Experience in designing, editing and/or maintaining websites would be an asset.
  • Knowledge of UFV and the BC post-secondary system.
