Job Description / Duties

Responsibilities Include:

Budgeting
• Prepare operating and capital budgets for the production department and accurate tracking of expenditures throughout the season
• Verify and/or participate in creating cost estimates of all set and hard prop designs as well as equipment required for each production in a manner that supports the director and design deadlines
• Authorize production purchasing; maintain budget control on designated accounts; maintain production inventory records; authorize/purchase/rent all production material and equipment
• Keep the General Manager informed, on a weekly basis, of all production expenses to assist in the Theatre’s ability to maintain an adequate cash-flow
• Work closely within the senior management team to fully realize revenue goals, particularly in the area of facility rentals
• Consult with the General Manager and Technical Director in determining all facility operating costs

Planning
• Work under the direction of the AD and GM to plan and supervise the execution of production requirements to facilitate the realization of the Artistic Director’s program
• Create and maintain an up-to-date Production Calendar for the season which includes all production design and construction deadlines, as well as detailed technical schedules for each show and event onstage
• Complete all required CAEA documents, forms and any other correspondence with regards to the season schedule and artist engagements
• Initiate and coordinate the flow of information within the production department and with other departments as required, including the scheduling and running of production meetings and post-mortems
• Facilitate the gathering and dissemination of information from guest companies to all departments in the organization
• Assist the Technical Director with the logistical planning of local, national and international tours
• Manage facility rentals of the theatre, Richardson Hall, lobby and green room: respond to client inquiries, conduct venue tours, negotiate rental contracts, hire event support staff and provide prompt account reconciliation once the event is complete
• Advise and assist in the organization of special production activities and long–range planning and development

Staffing and Artist/Crew Coordination
• Assess, define and organize Production Department personnel requirements in consultation with the AD and GM; maintain correspondence files and interview applicants for available positions or delegate such interviews to department heads
• Manage the schedules and responsibilities of IATSE 63 staff members in accordance with the collective bargaining agreement and maintain effective communication with the members of the senior management team in order to ensure a productive working environment. All schedules and duties assigned to the IATSE 63 members must be developed within the parameters of the operating budget that is set by senior management and approved by the Board
• Hire, supervise and coordinate all casual technical crews in co-operation with the Technical Director
• Supervise technical and dress rehearsals
• Engage designers as directed by the Artistic Director, including negotiating fees and issuing contracts
• Engage stage management personnel in consultation with the AD and GM
• Engage other artists: directors and other artistic personnel once hired by the AD, and actors once selected by the production’s director
• Oversee the day-to-day operations of the facility and supervise the building maintenance person in his or her duties

Other
• Oversee Health & Safety policy development and implementation, as well as participate in the Health and Safety Committee
• Ensure that the touring vehicle is properly maintained
• Other duties as may be reasonably assigned by the General Manager and Artistic Director

Qualifications / Required Skills

Qualifications
• 3-5 years experience in a supervisory capacity in professional performing arts (preferably theatre) with at least 2 years in production management.
• Proven proficiency with budgeting in all production areas, including financial tracking
• Extensive knowledge of staging and production techniques, and theatre equipment including lighting, sound and video
• Experience working with the Canadian Theatre Agreement, in particular clause 55
• Experience working in a Union environment
• Strong interpersonal skills and have demonstrated leadership skills
• Demonstrated superior written and oral communication skills
• Excellent organizational skills with the ability to balance

Salary: $40,000 - $50,000 per year, commensurate on experience
