Job Description / Duties

GCTC – ASSISTANT PRODUCTION MANAGER

The APM reports to the Production Manager (PM) to ensure the smooth operation of the production department and takes on additional duties as required by the PM.

RESPONSIBILITIES AND DUTIES INCLUDE

Personnel
•In coordination with the PM, Manage GCTC’s Technical Staff with an emphasis on: Compliance with the Policy and Procedures in the GCTC Employee Handbook; Compliance with the GCTC Health and Safety policy; Compliance with Ontario ESA Regulations; Identifying and tracking professional development opportunities.
•Responsible for creating schedules relating to production activity including weekly crew schedules, post mortems, Mainstage activities, production rentals and other events in the building, as-required.
•Responsible for ensuring GCTC compliance with all union agreements and Professional Associations (IATSE, CAEA, ADC, Playwrights Guild of Canada) as they relate to the production department.
•In coordination with the GCTC Technical Director, send out all calls for casual crew.
•Responsible for distribution and tracking of Production keys, computer information, phone ext. information, alarm codes and welcome packages on a show by show basis to Stage Management teams.

Health and Safety
•Maintain and update GCTC Health and Safety Policy in compliance with the Ontario Health and Safety regulations.
•Participate as an active member of the GCTC Joint Health & Safety Committee, chair meetings as-required, issue meeting agendas and minutes, schedule monthly workplace inspections for the Production Department and assist with other GCTC H&S initiatives, as-required.

Technical
•Identify and cost possible training opportunities for all GCTC technical staff.
•Maintenance, printing and re-drafting of designers’ preliminary and final designs using CAD Software
•Reproduce and generate construction drawings based on set designs, as required
•Act as a point of contact for designers and the Production Crew for all digital set and lighting plans.
•Responsible for tracking, sourcing, pricing, buying and coordinating the installation of all technical equipment for the MS, Studio, Shops and any other space that requires technical equipment in coordination with the Technical Director, Production Manager, and ATDs.

Financial
•Responsible for the initial calculation, coding inputting and tracking of all Timesheets, Petty Cash, Invoices and VISAs
•Responsible for the reconciliation of GCTC Mainstage shows and quarterly reports for seasonal expenses
•Responsible for coordinating with the GCTC Finance and Office Manager and the Production Manager to maintain up-to-date and efficient reconciliation practices for the Production Department.

Facility
•Monitor HVAC system in the facility on a weekly basis
•Set occupancy schedules and facilitate repairs to systems in coordination with the GCTC Finance and Office Manager and in coordination with the Production Schedule
•Be an active contact on the GCTC Security Call-List on an as-needed basis
•Attend to other facility needs as assigned.

Events
•Responsible for the Technical/Production aspects of theatrical rentals at GCTC including: Contract theatrical rentals; Identify the technical needs of all production/theatrical rentals; Generate pre-rental budgets and schedules; Generate list of required crew; Coordinate with GCTC Technical Directors as to space & equipment use; Communicate all relevant rental information and schedules to GCTC staff; Be on site for relevant portions of rentals on an as-needed basis
•Provide production support for GCTC partnerships and programs (residency programs, the Children’s Sunday Series, etc.) by creating labor and materials costing, allocating space, negotiating and creating schedules, contracting and providing on-site supervision, as-required
•Provide production support for special events at GCTC and internal (department) events, as-required
•Production Manage the GCTC / CCLA Lawyer Play fundraiser production including: script costing; production schedules; audition processes; artist contracts; designer contracts; budget creation and expense tracking
•Create and manage a budget for the Lawyer Play in cooperation with the GCTC Development Department.

General Conduct
•Maintain confidentiality regarding GCTC’s business and operations.
•Participate in the process of annual staff performance reviews.
•Participate on a seasonal basis in a revision of this job description.
•Participate in long-term and short-term planning activities, as required.
•Maintain good communications and work co-operatively with the Board, other staff, artistic community, volunteers, stakeholders, GCTC audience members and supporters.

Good knowledge of AutoCAD and other computer assisted drafting software, as well as good knowledge of Microsoft Office Word and Excel, is required for this position.
